WhatsApp appointment scheduling: the AI checks your calendar and books on the spot

With ConverZAP’s WhatsApp appointment scheduling, the AI agent gets the customer’s name and email, checks open slots in Cal.com and books them right in the chat. Then an automation sends the confirmation with an approved template, and your team steps in when the customer needs to reschedule.

  • Open slots checked in Cal.com during the chat
  • Booked on the spot, with an email invite for the customer
  • Confirmation with an approved template, triggered by a tag or a pipeline stage
  • Rescheduling and exceptions go to your team, with the full chat

Hi! I saw your ad. I’d like to book a consultation.

AI receptionist on WhatsApp: what is an appointment scheduling system?

A WhatsApp appointment scheduling system books time slots inside the chat, without the customer leaving the app. In ConverZAP, an AI agent collects the name and email, checks open slots in Cal.com, offers options and creates the booking. Confirmations and reminders outside the 24-hour window use Meta-approved templates.

✓ Tech Provider verified by Meta✓ Connects through the official WhatsApp API (Meta)✓ Cal.com integration with your account’s API key✓ Simulator to test the agent before you turn it on✓ Opt-out respected and configurable chat retention (Brazil’s data protection law, LGPD)✓ Meta fees paid directly to Meta, separate from the subscription

Two customers get the same slot because the calendar wasn’t updated. The booking goes straight into Cal.com. If the slot was taken, the agent offers another one.
Name and email are scattered across the WhatsApp history. The details go to the contact record, and the deal moves to the right pipeline stage.
Confirmation depends on someone remembering to send a message. The “booked” tag triggers an automation with an approved template.
A reschedule request gets lost among other chats. The word “reschedule” hands the chat to the team, and it shows up under “Waiting for a human”.

From a booking request to a meeting booked in Cal.com

Scheduling is a tool of the AI agent. You connect Cal.com under Integrations, turn on scheduling in the agent and enter the event type ID. When the customer wants to book, the agent looks up open slots starting the next day and offers up to 4 options, on different days when possible.

Once the customer picks a time, the agent creates the booking in Cal.com and the invite goes out by email. If someone took the slot in the meantime, Cal.com rejects it and the agent offers another option.

Features

Calendar: checking and booking in Cal.com

Cal.com connection

The agent uses the same calendar your team already keeps.

Paste your Cal.com API key under Settings → Integrations. In the agent, turn on scheduling and enter the event type ID, which appears in the event URL in Cal.com.

Truly open slots

Customers only see times that are actually available.

The agent checks open slots from the next day up to 14 days ahead, in the configured time zone (default: Brasília time).

Booking inside the chat

The customer picks a time and leaves with it booked.

The agent creates the booking in Cal.com with the customer’s name, email and phone number, and can add other attendees by email.

Scheduling instructions

The agent follows your service rules.

Set the appointment length and write your own instructions (up to 600 characters), such as “prefer offering morning slots” or “after booking, apply the booked tag”.

Chat: the agent that answers and books

Ready-made scheduling template

You start from a base and adjust it to your business.

The “Appointment scheduling” template comes with the details and time-slot steps, the name and email questions, and the scheduling tool already turned on.

Details in the contact record

Your team finds the name and email without digging through the history.

Each question has a destination field in the contact. The email is validated: if it comes in incomplete, the agent asks again.

24/7 or only during your hours

You decide whether the agent books in the middle of the night.

By default, the agent replies at any time. If you turn on business hours, outside them the agent sends one notice per day and answers what’s pending when you open.

Simulator before going live

Test the chat without booking anything for real.

In the simulator, the agent checks your real Cal.com slots, but the booking is only simulated.

Confirmations and reminders through automation

Triggered by a tag or a stage

The confirmation starts on its own after the booking.

Create an automation with the “Received a tag” or “Deal entered a pipeline stage” trigger. The agent applies the tag or moves the deal after booking.

Approved template with variables

A personal message, within Meta’s rules.

The WhatsApp step only accepts approved templates. Variables come from the contact record, and sending follows the hours you set.

Quick reply buttons

The customer confirms or asks to reschedule with one tap.

Create the template with quick reply buttons in the Templates module. The tap arrives as a reply in the chat and stops the journey.

Stops on a reply or an opt-out

People who replied or asked to opt out stop getting automated messages.

“Stop when the contact replies” is on by default. STOP (or its Portuguese equivalents, SAIR and PARAR) records the opt-out and ends the WhatsApp journey.

Team, pipeline and exceptions

A “Booked” stage in the pipeline

Managers see how many bookings came from WhatsApp.

With the pipeline tool on, the agent creates or moves the contact’s deal to the stage you choose.

Handoff to the team

Rescheduling, cancellations and unusual cases stay with a person.

Add words like “reschedule” and “cancel”. The chat goes to the team and shows up under “Waiting for a human”. When the agent requests the handoff, a summary goes along as an internal note.

Take over and hand back to the agent

Your team joins the chat without clashing with the AI.

Click “Take over from agent” or just reply: the agent pauses in that chat. Later, “Hand back to agent” resumes automated service.

Exact-date reminder from the inbox

The day before an important appointment, without relying on memory.

Snooze the chat until the day before. When it comes back, send an approved template from the Conversations inbox and fill in the date and time in the variables.

Sample conversation (fictional)

A clinic uses the scheduling template connected to Cal.com, with the keyword “reschedule” set up to hand the chat to the front desk.

Customer Friday at 10 is perfect.

AI agentAll set, Paula! Your consultation is booked for Friday, Oct 17, at 10 a.m. The invite is on its way to your email. If you need anything, just message here.3

SystemAgent applied the “booked” tag and moved the deal to “Booked”.

System“Post-booking” automation started. Utility template sent: “Hi, Paula! Your consultation at Example Clinic is booked. The date and time are in the invite we emailed you. Need to reschedule?” [All set] [I need to reschedule]4

SystemAutomation ended (reason: Replied). Keyword “reschedule”: chat handed to the front desk, under “Waiting for a human”.5

Team memberHi, Paula! This is Renata from the front desk. I’ll adjust your consultation. Do you prefer morning or afternoon next week?

  1. 1The chat came from a click-to-WhatsApp ad, and the source shows up in the Conversations inbox. The agent waits a few seconds so the customer can finish typing.
  2. 2The agent checked open slots in Cal.com, starting the next day, and offered 4 options on different days.
  3. 3The audio was transcribed and the booking was created in Cal.com with name, email and phone number. Following the clinic’s instructions, the agent applied the tag and moved the deal in the pipeline.
  4. 4The tag triggered the automation. The WhatsApp step uses an approved template, with the name filled in by a variable and quick reply buttons.
  5. 5The reply ended the automation. Rescheduling stays with the team: the agent doesn’t change bookings that already exist.

Control and limits: what the agent does and what stays with your team

Only books open slots

The agent checks Cal.com availability before offering a time and books directly in it. If the slot was taken in the meantime, the booking is rejected and the agent offers another one.

Rescheduling and cancelling stay with the team

The agent creates new bookings, but doesn’t reschedule or cancel existing ones. Add “reschedule” and “cancel” as handoff words: the chat goes to the team, which adjusts it in Cal.com and confirms with the customer.

When the AI hands off to a person

When the customer asks, when a saved keyword comes up, when the agent can’t help after two attempts, on a serious complaint, and when the chat hits its message limit.

Business hours

By default, the agent books at any time. If you prefer, turn on business hours: outside them, the agent sends one notice per day and answers what’s pending when you open.

No-shows

ConverZAP doesn’t detect no-shows on its own. Your team applies a tag or moves the deal to “No-show”, and that stage can trigger an automation with an approved template to offer a new time.

Data protection and opt-out

You choose how many days the content of the agent’s chats is kept (from 1 to 730), in line with Brazil’s data protection law (LGPD). If the contact replies STOP (or SAIR or PARAR), the opt-out is recorded and automations stop sending them messages.

WhatsApp rules for confirmations and reminders

24-hour window

According to Meta, a business can send free-form messages for up to 24 hours after the customer’s last message. While the customer is chatting, the agent replies freely. A reminder sent days later falls outside the window and needs an approved template.

Templates and categories

The categories are marketing, utility and authentication. Booking confirmations and reminders usually fall under utility, but Meta sets the final category during review. Adding a promotion to a reminder tends to make it marketing. See the step-by-step guide to templates.

Click-to-WhatsApp ads

When the chat starts from a click-to-WhatsApp ad and the business replies within 24 hours, Meta opens a free window of up to 7 days, in the Android and iOS app. That gives the agent time to book and confirm.

Opt-in and number quality

Send reminders only to people who gave permission, and make it clear how to opt out. Blocks and reports lower the number’s quality. The WhatsApp Health screen shows each number’s quality and limit. Learn about WhatsApp opt-in.

Meta’s fees

In Brazil, from October 1, 2026, Meta charges per delivered message: marketing R$ 0.3217; utility, authentication and service R$ 0.035. Each number gets 1,000 free service messages per month. Check Meta’s official pricing and estimate yours with the API cost calculator.

In practice, by industry

Clinics and medical offices

The agent books the first visit or consultation in Cal.com without asking for health details the script doesn’t need. Tests, health insurance and clinical cases go to the front desk with the full chat.

Integrations

Cal.com

Open slots and bookings through the Cal.com API, with your account’s key. The invite and booking emails follow your event settings in Cal.com.

Official WhatsApp API (Meta)

The agent serves a number connected through the official API. Chats appear in ConverZAP’s Conversations inbox.

Pipeline, Contacts and Automations

The CRM is ConverZAP’s own: contact record, tags, pipeline deal and confirmation automations, with no extra integration.

HTTP tool (n8n, Make, your own system)

If you use another system, the agent can call your endpoint during the chat, with the parameters you define.

AI providers

Plans include ConverZAP AI credits. If you prefer, add your own Gemini, Anthropic or OpenAI key: it takes priority and is billed by the provider. Usage is logged in the Costs module.

It’s a fit if…

  • Your business runs on appointments: clinics, studios, schools, consulting firms
  • You get booking requests after hours and lose people before you reply
  • You already use, or can use, Cal.com as your calendar
  • Your team wants bookings tracked in the pipeline, not only in the calendar
  • You run click-to-WhatsApp ads and want to book in the same chat

Maybe not yet if…

  • You need the AI to reschedule and cancel on its own: today that stays with the team
  • Your calendars aren’t in Cal.com and can’t be connected to it
  • You want reminders outside the 24-hour window without an approved template: that’s Meta’s rule, and it applies to everyone

Which plans include it

AI Agents, Automations, Templates, Pipeline and Conversations are in every plan. Essential (R$ 197/month): 1 active agent, 1 number and up to 3 users. Sales (R$ 497/month): 3 active agents, 3 numbers and up to 10 users. Complete (R$ 997/month): unlimited agents, 5 numbers and up to 20 users. Prices are in Brazilian reais. Scheduling uses your Cal.com account. The AI uses the ConverZAP credits included in the plan or, if you prefer, your own key (Gemini, Anthropic or OpenAI), which takes priority and is billed by the provider. WhatsApp message fees are paid separately, directly to Meta. See the details on Pricing.

WhatsApp appointment scheduling FAQ

What is a WhatsApp appointment scheduling system?

It’s a tool that books time slots inside the WhatsApp chat. In ConverZAP, an AI agent collects the name and email, checks open slots in Cal.com, offers options and creates the booking. Confirmations and reminders outside the 24-hour window go out with a Meta-approved template.

Which calendar does ConverZAP integrate with?

Cal.com, through your account’s API key. ConverZAP checks availability and books only in Cal.com. For your own system, the agent can call one of your endpoints with the HTTP tool.

Can the AI book a slot that’s already taken?

The agent only offers slots that Cal.com shows as open. If someone else takes the slot while the customer decides, Cal.com rejects the booking and the agent offers another option.

Does the customer need to provide an email?

Yes. Cal.com uses the email to create the booking and send the invite. The agent asks for the email in the chat, validates the format and saves it to the contact record. The WhatsApp phone number is added to the booking too.

How do WhatsApp confirmations and reminders work?

After booking, the agent applies a tag or moves the deal in the pipeline, and that triggers an automation with an approved template and reply buttons. Wait times count from the tag, not from the booked time. For an exact-date reminder, your team sends the template from the Conversations inbox.

What if the customer wants to reschedule or cancel?

The agent doesn’t change existing bookings. Add “reschedule” and “cancel” as handoff words: the chat goes to your team, which adjusts it in Cal.com. Cal.com’s own emails follow your event settings.

Does the agent book after business hours?

Yes, by default it replies at any time. If you prefer, turn on business hours in the agent: outside them, it sends a notice and replies when you open.

How much do scheduling messages cost?

The ConverZAP subscription doesn’t include Meta’s fees. In Brazil, from October 1, 2026, Meta charges per delivered message: utility and service R$ 0.035, marketing R$ 0.3217, with 1,000 free service messages per number each month. See Meta’s official pricing and the calculator.

Can automated reminders get my number blocked?

No tool removes that risk. What helps: using the official API, messaging only people who asked for the booking, using approved templates, honoring opt-out requests and sending during business hours. The WhatsApp Health screen shows the number’s quality.

Do I need a developer to set it up?

No. You connect Cal.com under Integrations, choose the “Appointment scheduling” template, enter the event type ID, test in the simulator and turn it on for your number. The confirmation automation is built on screen. See also how to create templates.
